Terms & Conditions

1.     Your booking - when booked direct with Stars and Embers Glamping

We reserve the right to accept or decline bookings entirely at our discretion.

Your contract with us will begin when we issue you with your booking confirmation. Your contract with us will be on the terms set out in these terms and conditions.

All bookings are formally confirmed when we issue you with your confirmation invoice/reference number.

Your confirmation invoice will set out the glamping accommodation you have booked, the dates of your booking, and the total amount paid for your booking. We will issue you with your confirmation invoice by email or, if requested, by post.

You, as the person making the booking will be responsible for all members of your party.

You, as the person in charge of your party must be at least 18 years old at the time of booking.

Children under the age of 18 must be accompanied by an adult. 

We can only discuss your booking (including any changes) with you unless you give express consent for us to discuss with another member of your party.

We have a 4 night minimum stay. Guests may arrive any time after 16:00 on the day of arrival and we ask you to vacate the site by 10:00 on your day of departure.

The principal individual making the booking must accompany the party, which must be as stated on the booking form. To secure the booking you must pay a non-refundable 25% deposit (negotiable for returning guests).  The full balance is due 6 weeks before your arrival.

If your booking is made within 6 weeks of your holiday full payment is required at point of booking.

2.     Accommodation

Smoking is not permitted in any part of your glamping accommodation. Please note smoking includes use of vapours and/or e-cigarettes. We also kindly ask that you do not light open candles or inscence sticks/burners within the tent. We expect users to safely dispose of rubbish associated with these activities.

You and your party may only use the supplied barbeque whilst on site, ensuring that if it is placed outside and raised off the ground and away from the safari tents. You and your party must not use barbeques, gas stoves, or other naked flames and cooking equipment inside the glamping accommodation unless it is provided as part of the accommodation offer.

We reserve the right to halt the use of barbeques or the fire pit if we deem such activities to be used in an unsafe manner, or in the case of adverse weather conditions such as prolonged draught due to the risk posed to dry land.

Use of the wood burning stove must be in accordance with the guidance provided, and must only use the wood available on site (no coal or lighting fluid to be used at any time).

Non-residents are only allowed on site after prior confirmation with Stars & Embers Glamping Ltd.

Losses or damage to the property caused by you or your party (normal wear and tear excluded) may be charged for. Please advise of any breakages, damage or inconvenience as soon as possible to enable us to remedy the problem to make your stay as enjoyable as possible.

Your rental includes all bedding, duvets, sheets and towels, excluding beach towels.

Logs for the wood burning stove is included in your booking. There is an additional charge of £5 for logs for the large fire pit per use, and for additional kindling and lighters beyond that found in your welcome bundle. 

A maximum of two dogs per tent are permitted and all dogs must be kept on a leash throughout your stay as we are situated within active farmland. Dogs are not to be left unaccompanied in the tents at any time.

During your stay you are responsible for your party, and we ask that you take all reasonable steps to protect our property.

On departure please leave them clean and tidy condition in the same condition as when you arrived. We would be very grateful if on leaving all the contents are left in the places you found them, which is a huge help in getting the tent ready for the next guests.

You must not use the glamping accommodation, or allow it to be used, for any dangerous, offensive, noisy, illegal or immoral activities. You must not cause any nuisance or annoyance to any neighbour or anyone else during your stay.

As a family friendly quiet site we request that guests to respect this policy with noise kept to a minimum after the hours of 22:00 and before 09:00.  

3.     Cancellation Policy

All cancellations must be in writing or via email.

3a .Covid 19

Restrictions to us operating, or your ability to travel

Covid cancellations will follow the same principles set out within our agent Sykes booking terms and conditions. For holidays unable to occur due to national/local lockdowns, isolation or tier controls we will offer an alternative (if available) or refund any difference if the week chosen is at a lower rate. We will also offer a full refund if either of these two options is not available to you.

3b. For all other cancellations..

Your glamping accommodation booking is a contract for the specific date or dates and this means that you do not have a statutory right to change your mind and cancel the contract. We do, however, offer you the right to cancel your contract subject to the provisions set out in this section.

If you wish to cancel a confirmed booking you must let us know by email or in writing as soon as possible and, in any event, prior to the first day of your booking. Your booking will be cancelled with effect from the day we receive your email or written notification, subject to us deducting cancellation charges as set out below.

Our cancellation charges are calculated according to the time between notification of your cancellation request and the start date of your booking. The cancellation charges are set out in the table below:

No. of days prior to booking start date:

  • More than 42 days = Deposit at 25% of total booking fee

  • Less than 42 days or after the booking start date = 100% of the total booking fee

If you cancel your booking after the booking start date, we will not issue any refund for any remaining nights of your booking. For the avoidance of doubt, this includes where you cancel your booking for any reason outside of your reasonable control, including without limitation, inclement weather and illness. It is advisable to consider purchasing holiday insurance to compensate you in these circumstances.

Promotional offers will only be applied if they are valid and quoted at the time of booking. Promotional offers cannot be combined, nor can they be used retrospectively to apply to existing bookings.

If we need to change or cancel your booking

We do not expect to have to make changes to your booking, however sometimes problems happen, and bookings have to be changed or cancelled. We will only change or cancel your booking:

§  if necessary to perform or complete essential remedial or refurbishment works; or

§  for other reasons unforeseen at the time you made your booking which are beyond our reasonable control. This may include occasions where the Accommodation becomes inaccessible due to a Meteorological Office Severe Weather Warning or other severe weather event.

If the accommodation is not available due to unforeseen circumstances, Stars and Embers Glamping Ltd cannot accept liability or responsibility, but your deposit/monies already paid will be refunded in full.

Our right to evict

We may terminate our contract with you and ask you to leave your glamping accommodation and the site immediately (without any compensation being payable) if:

§  we consider that you or your party have committed a serious breach of these terms and conditions;

§  we consider that your or your party’s behaviour endangers the safety of our visitors or staff; 

§  any complaints are made of anti-social or unacceptable behaviour against you or your party;

§  you or your party cause an unreasonable amount of damage to the property or its contents; or

§  you exceed the maximum occupancy limit for your accommodation.

We reserve the right to terminate your stay if any of your party are not treating the property or other guests with due respect.

Maximum occupancy for your glamping accommodation

You must ensure that the maximum number of persons occupying the glamping accommodation does not exceed the maximum occupancy limits set out in our website. You must not bring additional camp beds to the accommodation. For the purposes of occupancy limits a child over the age of 2 is considered an occupant.

We set maximum occupancy limits in line with the facilities, space and equipment available as such, we reserve the right to require you to leave the site (without any compensation or refund) if you exceed the maximum occupancy limits as described on the website.
